Education & Experience
- Preferred: Minimum of 5 years of experience in aesthetic procedures.
Qualifications
Nurse Practitioner (NP):
- Graduate of an accredited Nurse Practitioner Program.
- Current Advanced Practice Registered Nurse (APRN) licensure.*
- Current Registered Nurse (RN) licensure.*
- Certified by the American Association of Nurse Practitioners (AANP) or the American Nurse Credentialing Center (ANCC).
Physician Assistant (PA):
- Graduate of an accredited Physician Assistant Program.
- Current Physician Assistant (PA) licensure.*
- Certified by the National Commission on Certification of Physician Assistants (NCCPA).

Primary Responsibilities
- Provide direct patient care aligned with clinic guidelines and state-authorized practice standards.
- Perform injections, facials, laser treatments, and other aesthetic procedures as appropriate to training and experience.
- Conduct thorough patient consultations, including medical histories and pre/post-procedure photography.
- Maintain comprehensive and accurate medical records, documenting treatments, medications, and patient education.
- Deliver follow-up communication to patients, ensuring understanding of their treatment plan and outcomes.
- Coordinate retention efforts through personalized correspondence and care plans.
- Track referral sources and express gratitude through letters and consultation follow-ups.
Secondary Responsibilities
- Ensure patients are informed about being treated by a registered nurse, as applicable.
- Collaborate with the supervising physician on delegated patient services and establish care guidelines.
- Maintain treatment rooms and work areas in compliance with OSHA and company standards.
- Manage injectable product inventory, ensuring accurate tracking and timely restocking.
- Participate in training, continuing education, and maintaining knowledge of the latest aesthetic trends and technologies.

Position Overview:
As the Director of Clinical Sales and Operations, you will oversee the daily operations, administrative processes, and clinical efficiency of our clinic. Your role will focus on driving business growth and sales, optimizing clinical systems, and maintaining outstanding patient experience. You will be a key leader in creating a collaborative, high-performing team environment and ensuring that our clients receive the highest standard of care.
Front Desk & Daily Operations Management
- Oversee all aspects of front desk operations, ensuring seamless daily workflows and an exceptional client experience.
- Manage appointment scheduling, rescheduling, and waitlist optimization to maximize provider efficiency.
- Handle client communications, including phone calls, emails, and in-person inquiries, ensuring prompt and professional responses.
- Process transactions, including payments, refunds, and gift card sales, while maintaining accurate financial records.
- Ensure all patient paperwork, consents, and treatment forms are completed, organized, and compliant with clinic policies.
- Manage opening and closing procedures, ensuring the clinic is prepared for daily operations and properly secured at the end of the day.
Staff Supervision & Training
- Supervise front desk team members, assigning tasks, monitoring performance, and providing ongoing coaching.
- Develop and implement structured training programs for new hires and ongoing education for existing staff.
- Assist in the hiring and onboarding process, ensuring new team members align with clinic values and standards.
- Conduct regular performance reviews, providing constructive feedback and setting measurable goals for team growth.
- Foster a supportive, team-oriented work environment that encourages accountability and excellence in client service.
Inventory & Supplies Management
- Manage treatment room and retail inventory, ensuring adequate stock levels of professional backbar products and retail items.
- Coordinate with vendors and suppliers to place orders, track shipments, and reconcile inventory discrepancies.
- Conduct regular monthly inventory audits and implement efficient stock management practices to minimize waste and loss.
- Ensure promotional materials, brochures, and client education resources are well-stocked and up-to-date.
Financial & Operational Reporting
- Reconcile daily and weekly deposits and credit card statements, ensuring accurate financial tracking and reporting.
- Monitor key performance indicators (KPIs), including revenue, client retention, and service utilization, to support business growth.
- Assist in compiling financial reports via Quickbooks and operational data to inform strategic decision-making.
- Attend quarterly tax planning meetings and ensure the team has all necessary information.
- Work closely with leadership to analyze trends, optimize pricing strategies, and improve profitability.
Operational Process Improvement
- Develop, implement, and refine front desk workflows to enhance efficiency and patient experience.
- Collaborate with leadership on integrating new technology, including scheduling software, payment systems, and digital client forms.
- Identify operational bottlenecks and propose solutions to streamline administrative tasks and provider scheduling.
- Maintain compliance with industry regulations and best practices for clinic operations.
Marketing & Promotions Support
- Partner with the marketing and social media teams to coordinate special offers, product launches, and seasonal promotions.
- Ensure promotional inventory is adequately stocked and properly displayed in treatment rooms and the retail area.
- Track the effectiveness of marketing campaigns, gathering client feedback and reporting on sales impact.
- Assist in the execution of in-clinic events, VIP experiences, and patient loyalty initiatives.
Patient Satisfaction & Care
- Act as a primary point of contact for client concerns, ensuring prompt resolution and a superior customer service experience.
- Regularly assess patient feedback, implementing strategies to enhance service quality and client retention.
- Train staff on delivering a warm, personalized, and informative patient experience.
- Oversee patient follow-up procedures, ensuring post-treatment care instructions are communicated effectively.
Event & Staff Meeting Coordination
- Plan and organize team meetings, ensuring agendas are prepared and key topics are addressed.
- Coordinate special events, including staff training sessions, open houses, and promotional events.
- Support leadership in team-building initiatives that strengthen workplace morale and collaboration.
Performance Management & Growth Strategy
- Develop and implement strategies to improve front desk efficiency, provider utilization, and patient scheduling optimization.
- Identify opportunities to increase revenue through upselling, service bundling, and enhanced patient education.
- Monitor team performance, implementing training and support programs to drive professional growth and operational success.
- Work with leadership to refine clinic policies, ensuring consistency and excellence in service delivery.

Qualifications + Experience:
- Bachelor’s degree in business, healthcare administration, or related field preferred.
- Minimum of 10 to 15 years of management experience, preferably in a clinical or wellness setting.
- 5-7 years of experience working in medical spa
- 5-7 years of managing teams larger than 5
- 5-7 years operating a business in the beauty, fashion, wellness, spa, clinic or retail industry
- Strong knowledge of medical terminology and clinical practices.
- Highly confident personality as well as excellent communication and leadership skills.
